QUESTION AND ANSWER

Why is my recurring webinar only being added to my calendar for a single date and time?

Issue

Objective

Environment

  • GoToWebinar
  • Microsoft Outlook
  • Windows
  • Mac

Procedure

Answer

The Add To Outlook functionality built in to GoToWebinar is dependent on the limitations in Outlook for recurring calendar items. If Outlook does not support the pattern of the additional recurring dates in the calendar file, it will only read the initial date.

Each session must meet the following conditions:
  1. Same time of day
  2. Same duration
  3. Recurrence must be the same every week or month
  • Recurring every Wednesday and Friday is fine, but Wednesday this week, Friday next week, and Monday the week after will not work

A workaround would be to manually import the .ics file. To manually import follow the steps below:
For Microsoft Outlook 2007:
  1. Save the [Webinar Name].ics file to your desktop
  2. Open Outlook
  3. Click File
  4. Click Import and Export
  5. Select Import an iCalendar (.ics) or vCalendar file (.vcs)
  6. Click Next
  7. Browse for the [Webinar Name].ics on your desktop
  8. Open the file and click Import
For Microsoft Outlook 2013 & 2016:
  1. Save the [Webinar Name].ics file to your desktop
  2. Open Outlook
  3. Click File
  4. Click Open
  5. Click Import and Export
  6. Select Import an iCalendar (.ics) or vCalendar file (.vcs)
  7. Click Next
  8. Browse for the [Webinar Name].ics on your desktop
  9. Open the file and click Import
For Microsoft Outlook 2011 (Mac):
  1. Open Outlook for Mac
  2. Click File
  3. Click Import
  4. Click Outlook Data File
  5.  Click the right arrow
  6. Select Import an iCalendar (.ics) or vCalendar file (.vcs)
  7. Click the right arrow
  8. Locate the data file on your computer, and then click Import
  9. When the import process is complete, click Done

Additional Information

An easy test to see if the pattern you want will be understood is to go to Outlook and create a new empty calendar item and go to recurrence. The patterns there are the only ones that Outlook understands.
